This policy explains what information 5 Tool Players collects through this website, why we collect it, who we share it with, and what you can do about it. In this policy, “we” and “us” mean 5 Tool Players.

The short version: we collect player information so that college coaches and professional scouts can find and evaluate athletes. That is the whole purpose of this organization, and it means information you send us is intended to be shared and published. Read the sections below before submitting anything you would not want a college coach to see.

Information we collect

Player submissions. When you complete the Player Submission Form we collect the athlete’s name, date of birth, contact details, home address, social media handles, physical measurables, positions, academic information, high school, graduation year, college commitment, video links, and the name, email and phone number of at least one parent or guardian.

Contact enquiries. Name, email address, subject and message.

Roster information. For players on our roster we publish name, position, bats and throws, height, weight, high school, graduation year and college commitment.

Account information. If a player portal account is created, we collect the username, email address and any billing details required to process a payment. Payment card details are handled by our payment processor and are never stored on this website.

Photographs and video. We record games, showcases and events. Images of participants may appear on this site and on our social media.

Technical information. Our host records standard server logs, including IP address, browser type and pages visited. If website analytics are enabled, they collect similar usage information. We do not use this information to identify individual visitors.

Children’s information

Most of the athletes we work with are under 18, and this section governs their information.

Under 13. We do not knowingly collect information from a child under 13 without verifiable parental consent. A submission involving an athlete under 13 must be completed by a parent or legal guardian.

13 to 17. An athlete may complete the submission form, but a parent or guardian must review and approve it first. Our form requires that confirmation before it can be sent.

A parent or guardian may at any time ask us what information we hold about their child, ask us to correct it, ask us to remove it from this website, or withdraw consent for its use. Write to [email protected] and we will act on it.

Why we collect it, and who sees it

We use player information to evaluate athletes, build rosters, and create exposure. That means it may be:

  • Published on this website — roster, college commitments and alumni pages.
  • Shared with college coaches, professional scouts, and scouting services who are evaluating players.
  • Used to contact you about evaluations, events, rosters and schedules.

We also use contact information to answer enquiries, and account information to administer accounts and process payments.

We do not sell personal information, and we do not share it for cross-context behavioural advertising.

Service providers

We use third parties to run this site: our web host, our form software, and — where payments or mailing lists are in use — a payment processor and an email service. They process information only to provide those services to us. We do not authorise them to use it for their own purposes.

Your choices

You can ask us to remove a player’s information from this website, decline to have a player photographed, or ask us to stop contacting you. Write to [email protected].

Removing information already shared with a college coach or scout is not something we can undo, which is why it is worth deciding before you submit.

California privacy rights

If you live in California, you have the right to know what personal information we have collected about you and where it came from, to request a copy of it, to ask us to correct it, and to ask us to delete it. You also have the right not to be discriminated against for exercising those rights.

We do not sell personal information and we do not share it for cross-context behavioural advertising, so there is nothing to opt out of on that front.

To make a request, write to [email protected] with enough detail for us to identify the records. We may need to verify who you are before we act, particularly where a minor’s information is involved. A parent or guardian may make a request on behalf of their child.

Cookies

This site uses cookies that are necessary for it to function, including keeping you logged in if you have an account. If analytics or marketing cookies are added, this policy will be updated and you will be given the choice to decline them.

How long we keep it

Player submissions are kept while the athlete is under consideration and for a reasonable period afterwards, since a player who does not fit one season may fit the next. Roster and alumni information is kept as a historical record of the program. You can ask us to delete any of it at any time.

Security

Information is held on a managed WordPress host with access limited to our staff. No website is perfectly secure, and we cannot guarantee absolute security, but we take reasonable measures to protect what you send us.

We may update this policy. The date at the top shows when it was last revised.
